Job Description

We are urgently looking for a Hotel Receptionist to start working immediately.

Duties and Responsibilities:

  • To greet guests over the phone in a friendly, courteous manner (within 3 rings).
  • To identify guest reservations needs by asking open ended questions and determine appropriate room types and maximize room rate.
  • To deal with incoming enquiries regarding accommodation availability, room types, rates, etc. within the required turnaround time.
  • To process all reservation requests, changes and cancellations received by phone and email.
  • To actively listen and respond positively to guest questions, concerns, and requests using brand or property specific process to resolve issues, delight, and build trust.
  • Enrolling guests to be Marriott Bonvoy members.
  • To explain guarantee, special rate and cancellation policies to callers.
  • To verify and record reservation information accurately.
  • To accommodate and document special requests.
  • To answer questions about property facilities/services and room accommodations.
  • To follow sales techniques to maximize revenue by upselling rooms and promoting hotel restaurants and other services and facilities to guests.
  • Input and access data into reservation systems (Opera and Marsha).
  • To identify and record special billing instructions.
  • Pre-block all special requests or VIP accommodation accurately.
  • To contribute to maximum occupancy of the hotel by assisting in maintaining accurate inventory control for rooms.
  • To acknowledge assigned reservation messages.
  • To follow up and conversion of enquiries is of utmost importance.
  • Responsible for tidy administration, including keeping accurate records of all paper transactions, and file all reservations in a systematic order for easy referral.
  • To deal with pro-forma invoices and following-up on payment and vouchers.
  • Responsible for online bookings (Third Party Websites).
  • Responding to email queries.
  • Responsible for Morning Reports, working out reservations statistics and balancing the hotel inventory.
  • To assist with Group and Conferencing enquiries.
  • To comply with quality assurance expectations and standards.
  • To protect the privacy and security of guests and co-workers.
  • To maintain confidentiality of proprietary materials and information.
  • Perform other reasonable job duties as requested by Supervisors and Managers.
  • Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservations, and answer inquiries from guests.
  • Transmit information or documents using a computer, mail, or facsimile machine.
  • To operate standard office equipment other than computers. Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.
  • To handle incoming and outgoing mail, including date stamping and distributing incoming mail.
  • To create and maintain computer- and paper-based filing and organization systems for records, reports, documents, etc.
  • To compile, copy, sort, and file records of office activities, business transactions, and other activities.
  • To enter and locate work-related information using computers and/or point of sale systems.
  • To check in and out of guests

Key Requirements:

  • Must have Hotel or Guest House experience
  • Must reside in Stellenbosch or close surroundings
  • Must have one year’s prior and recent experience.
  • Must have previous experience in Reservations.
  • Must have good working knowledge of Property Management Systems.
  • Must have experience in MS Word, Outlook and Excel.
  • Must have an excellent telephone manner.
  • Must be self-motivated and be able to take initiatives.
  • Must be committed to the precise and thorough following of reservations and front office systems and procedures.
  • Planning, organizational and time management skills.
  • Must have ability to work accurately under pressure.
  • To support all co-workers and treat them with dignity and respect.
  • Must be a team player with a positive attitude
